Challenge

A family of five holding Indian passports applied for U.S. B1/B2 Visitor Visas. The applicants had a strong travel history, and their visa applications were carefully prepared. One of the family members was residing in the United Kingdom and planned to travel specifically for the U.S. visa appointment.
The application encountered an unexpected issue during the visa fee payment stage. Although the visa fee was successfully paid, the payment did not appear in the U.S. visa appointment system, preventing the family from scheduling their interview.

The key challenges included:

  • The visa fee was deducted from the client’s bank account but was not reflected in the U.S. visa system.
  • Multiple follow-ups with the embassy did not immediately resolve the issue.
  • There was no direct telephone support available for the issue.
  • The appointment process was delayed for more than a month while waiting for the payment to be recognised.

Solution

To resolve the issue, we worked closely with both the client and the relevant support channels throughout the process.

Our approach included:

  • Assisting the client with multiple follow-up emails to the embassy regarding the missing payment.
  • Advising the client to contact the payment bank which confirmed that the payment had been successfully processed and provided the payment reference number.
  • Contacting the U.S. visa customer support channels and submitting the payment reference number as supporting evidence.
  • Monitoring the case while awaiting updates, despite extended response times.
  • When the system later allowed a new payment to be made, advising the client to complete a second payment so that the visa appointment could proceed without further delay.
  • Guiding the client through the refund process for the original payment after the second payment was successfully recognised.

Through continuous follow-up and careful coordination, the payment issue was eventually resolved.

Results

After the second payment was accepted by the system, the visa appointment was successfully booked for the family.
The embassy subsequently processed the refund for the original payment, ensuring that the client did not incur duplicate visa fees.
